Facts in Brief
Navision integrates systems at XLRI and gives them the
analysis tools to monitor financial activities. A large
number of disconnected financial systems at the leading
management education institute in India were replaced by
one integrated software solution, Microsoft Business
Solution – Navision.
Business Challenge:
XLRI, one of the top 10 management education institute
in India is involved in management
education, management consultancy, researches and
distant education. XLRI has grown
enormously in last five years and has become very
popular for management studies and
consulting projects. They needed an integrated
information solution for their financial system,
which has become quite complex with the growth
experienced. This system had to be one, which captures
all information at source and empowers the users with as
much analysis and control as needed and yet keep it
simple to use.
Business Solution:
Microsoft Business Solution- Navision, suitably
modified, helped XLRI to integrate all their data on to
one database where everyone from Director, Financial
Controller, Managers, Faculty and operational staff
easily access the information they needed.

At present, the software is licensed for 5concurrent
workstations which work on Windows
9X, XP and Window 2000.

Account Management, Cheque Writing, Bank Reconciliation;
Basic Receivables and Sales Invoicing; Sales Tax; Basic

Inventory, Multiple Locations, Item Charges; Basic Human
Resources, India Payroll, Basic
Payroll, Salary Processing, Tax on Employee Income;
Basic Fixed Assets, Insurance, Maintenance and

XLRI had been using standard accounting package along
with a number of databases and
spreadsheets to manage the information at the institute.
The purpose of the accounting package
was to generate the final reports in a manner available
in the software. Accounts database,
payroll application, attendance database, leave
database, MDP databases, admission databases and a host
of excel based information system were in use.
Problems faced
Bank reconciliation was very tedious, MIS was just not
adequate, reports were not meeting the requirements,
there was too much of duplication of data entry and
record keeping. The
duplication and redundancy necessitated a lot of
reconciliation and consequently a large amount of
man-days consumed in either sorting out the differences
in various systems or generating new reports required,
often rearrangement of data generated from various
systems for managing the institute.
Solution
The integrated solution offered a perfect answer to all
the problems. Over and above solving the problems it
enabled XLRI in more ways than one to use the system in
a totally new way.
It ensured that all information
in the system is leveraged to the hilt.
With one composite repository of data
regarding MDP clients/prospects, consultancy clients,
alumni, placement clients, visiting faculty, applicants
for admission test, all suppliers and associates in one
place, the industry linkages of the institute is
increased exponentially.
Empowered the users with information and analysis
tools
With the data an analysis is available to all users as
per their need. The response time of the institute to
all actions got enhanced at all fronts. For example the
course wise, area wise, faculty wise, client wise, year
wise analysis of the proposed courses ensures a better
fitment of the offerings of the institute to the needs
of the industry and ensure a better occupancy in the
respective courses.
Software manages the inventory
ROL, ROQ and other details of inventory items have been
set up. The material-planning module automatically
generates the purchase orders for the items, which have
gone below the ROL.

the best architectural design, is bug free (over
1,60,000 installations) very robust, well documented
with
field level help built into the application.
